Composition of Assistant Editor

Introduction

The Assistant Editor of Lex Gazette is essential for upholding the journal’s quality. They conduct preliminary manuscript reviews, collaborate with authors on revisions, facilitate communication throughout the editorial process, and help organize workshops to train aspiring contributors to the journal.

  1.   Eligibility Criteria for Students:

  1. Must be an enrolled student in a relevant academic program (such as Law, Humanities, Social Sciences, etc.) at the undergraduate, graduate, or doctoral level.
  2. Must have an excellent academic performance or equivalent academic standing.
  3. Should have demonstrable interest and experience in research, academic writing, or publishing, evidenced by coursework, previous publications, or editorial work.
  4. Selection Process:
    • Interested students must submit an application, including a resume/CV, academic transcript, and a statement of interest outlining their editorial experience and motivation after short listing.
    • Candidates may be required to complete a writing/editing assessment to evaluate their language and editorial skills.
    • A panel of senior editorial members or faculty advisors will interview the top candidates for final selection.
  5. Term of Appointment:
    • Student Assistant Editors are appointed for a term of 1 year, with the possibility of renewal based on performance.
    • Appointments may also be limited to the academic calendar, with the option to extend through summer or winter breaks if agreed upon by both parties.
  6. Responsibilities:
    • Assist in the peer review process by conducting preliminary reviews of submitted manuscripts, checking for basic compliance with formatting and guidelines.
    • Participate in meetings with the editorial board to discuss the quality and appropriateness of submissions for publication.
    • Work closely with authors on minor revisions and language editing, as guided by senior editors.
    • Monitor the progress of manuscripts through the editorial workflow and ensure timely communication between authors, reviewers, and the editorial board.
    • Help organize workshops or editorial training sessions for other students who wish to contribute to the journal.
  7. Mentorship and Training:
    • Student Assistant Editors will be assigned a senior faculty advisor or professional editor to mentor them throughout their term.
    • Training sessions will be provided on topics such as academic publishing ethics, peer review processes, and editorial decision-making.
    • Students are encouraged to attend publishing and research conferences to further develop their skills and network with professionals in the field.
  8. Workload and Academic Considerations:
    • Student editors must maintain a balance between their academic responsibilities and editorial duties. It is recommended that no more than 6-8 hours per week be dedicated to editorial work.
    • In case of academic examinations or personal challenges, students may request temporary leave from their editorial duties, with prior notice to the Editor-in-Chief or Faculty Advisor.

  10. Certificate of Recognition: Students who serve as Assistant Editors will receive a formal certificate of recognition upon the successful completion of their term, acknowledging their contribution to the journal.
  • Editorial Masthead: Their names will be published on the journal’s editorial masthead, website, and any relevant academic or institutional communications.
  • Internship References: High-performing student will be eligible for strong reference letters for internships, research positions, or academic programs. These letters will be written by senior editorial staff or faculty advisors, highlighting the student’s editorial and academic skills.
  • MoU Benefits: Student editors will be eligible to benefit from opportunities offered under the journal’s Memoranda of Understanding (MoUs) with partner organizations. These may include:
  • Access to exclusive internships and training programs with partner institutions.
  • Priority consideration for scholarships, research fellowships, or conferences hosted by organizations affiliated with the journal.
  • Opportunities for collaborative projects, research, or networking events facilitated through the journal’s partnerships.
  • Co-Authorship Opportunities: Top-performing student editors may have the chance to co-author editorial pieces, reports, or reviews published in the journal.
  • Professional Development: The journal may offer participation in workshops, seminars, or webinars, providing insights into academic publishing and enhancing their professional skill set.
  1. Confidentiality and Ethics:
    • Like professional editors, student editors must maintain strict confidentiality regarding the content of manuscripts under review.
    • Student editors must declare any conflict of interest related to manuscripts or authors they may be familiar with.
    • Plagiarism and unethical editorial practices are strictly prohibited, and breaches may lead to dismissal from the editorial position.
  2. Feedback and Evaluation:
    • Student editors will receive periodic feedback from senior editors and faculty advisors regarding their performance and contributions.
    • A mid-term evaluation will be conducted to assess progress, with constructive feedback offered to improve editorial skills.
    • End-of-term evaluations will influence the renewal or extension of the student’s appointment.
  3. Resignation and Removal:
    • Student editors may resign by providing formal notice, ideally two weeks in advance, to allow time for a replacement.
    • The Editor-in-Chief or Faculty Advisor may remove a student from the editorial board in cases of unethical behavior, failure to meet responsibilities, or academic underperformance.
